Flowcall Privacy Policy
Version 2026-10-10 · DRAFT. Have a licensed attorney review this before relying on it.
Flowcall is made by Matthew Fearing, an individual doing business as Flowcall in Knoxville, Tennessee, USA ("we", "us"). This policy says exactly what personal information we collect, why, and what we do with it. We collect as little as we can.
1. The short version
- Flowcall runs on your computers. Your pipelines, files, database contents, decisions, dashboards,
logs and user accounts stay on your systems. We never receive them.
- The installed software sends us almost nothing. It has no usage tracking and no analytics. An
installation with a paid Licence Key checks in about once a day, sending the key's identifier and the software version.
- When you buy, Stripe handles your payment, and we keep what we need to issue and manage your
licence.
- We do not sell or share personal information for advertising. Our website uses **no cookies,
no trackers and no analytics**.
2. What we collect and why
| When | What | Why | Kept for |
|---|---|---|---|
| You buy or change a plan | Name, email, organization, billing address; Stripe customer and subscription IDs. Card details go to Stripe, never to us. | Issue your Licence Key, bill you, send receipts and notices, handle renewals, refunds and taxes | 7 years after the subscription ends (tax and accounting law) |
| Your installation checks in (paid plans) | Licence Key identifier, software version, time of check-in. Our server also sees the connecting IP address. | Confirm the key is active, deliver renewed keys, know which versions are in use | Check-in records: up to 13 months. IP addresses are not stored in our licence database. |
| Update check (only if your administrator turns it on) | Current software version | Tell you about a newer version | Not stored |
| You email support | Your email, the message and any attachments | Answer you | 2 years |
| You visit our website | Our website is hosted by Cloudflare, which processes your IP address and request details to deliver and protect the site, under its own privacy policy. We use no cookies, no analytics and no trackers. | Delivering the site and keeping it secure | We keep no visitor logs ourselves; Cloudflare keeps its logs as its policy describes |
We do not use your information for automated decisions about you, and we do not build profiles.
3. Data inside Flowcall (your installation)
Data you put into Flowcall stays on systems you control. You are the one in control of it, and you are responsible for it under the laws that apply to you. If Flowcall connects to a third-party service on your behalf (for example an AI model provider such as Hugging Face or Anthropic, a data warehouse, your email server or GitHub), the data goes directly from your installation to that service under your own account and that service's terms. It does not pass through us.
If you send us your data to get support, we use it only to help you and delete it when the request is resolved, unless you ask us to keep it.
4. Who we share information with
Only service providers who help us run Flowcall, under contracts that limit their use of it:
- Stripe: payments and billing.
- Our email provider: sending Licence Keys, receipts and support replies.
- Cloudflare: hosting our website.
- Our hosting provider: running our licence server.
We may also disclose information when the law requires it, to protect our rights or users' safety, or to a successor if our business is sold or transferred to a company we form. We do not sell personal information or share it for cross-context behavioural advertising.
5. Your rights
Wherever you are, you can ask us to:
- tell you what personal information we hold about you and give you a copy;
- correct it;
- delete it (we keep what tax law requires); or
- stop emailing you anything other than essential account and legal notices.
Email the support address. We answer within 30 days. We will not treat you differently for asking. If you are in the EU, UK or a US state with a privacy law, you have these rights under that law too, and you can complain to your data-protection authority.
6. Security
Licence data is held on servers with restricted access, connections are encrypted (HTTPS), and card data is handled by Stripe. No system is perfectly secure. If a breach affects your personal information, we will tell you as the law requires.
7. International transfers
We are based in the United States, and our service providers may process information in the United States and other countries. Where the law requires it, we use appropriate safeguards for transfers.
8. Children
Flowcall is business software and is not intended for anyone under 16. We do not knowingly collect their information.
9. Changes
We will post any change here with a new version date, and email paying customers about material changes before they take effect.
